Chief of Staff

FIVE19 is a full-service advertising and marketing agency based in Richmond, Virginia, that specializes in the senior living sector. We focus on putting people first - whether that’s our clients, the communities those clients serve, or our internal team. Our approach combines strategy, storytelling, website design and digital campaigns to reshape perceptions of senior living and build meaningful partnerships.

A little bit about the role

We are seeking a Chief of Staff who operates as both strategic partner and tactical executor - someone who thrives at the intersection of vision, operations, and accountability. This role serves as the CEO’s integrative force and operational counterpart, translating big ideas into disciplined execution, structured priorities, and measurable outcomes.

As the Yin to a visionary CEO’s Yang, you bring structure, calm, and clarity to creativity and momentum. You absorb ideas, organize priorities, and drive the systems, processes, and metrics that support healthy scale, alignment, and profitability. You serve as a trusted partner with the calm precision of an operator, the strategic acumen of an advisor, and the emotional intelligence required to influence, guide, and elevate teams.

You will report directly to the CEO and ensure the business moves with focus, accountability, and operational excellence. Day-to-day responsibilities include:

Operational Leadership & Accountability

  • Serve as the Integrator within the EOS (Entrepreneurial Operating System) framework, owning cross-functional accountability, team alignment, and performance tracking.
  • Facilitate scoping, resourcing, and project profitability reviews - leading scope meetings and driving billability.
  • Build, maintain, and analyze operational KPIs in dashboard format to ensure the team stays focused on top priorities.
  • Identify and synthesize issues; provide the issue → solution → recommendation framework with concise rationale to the CEO.
  • Responsible for management and maintenance of the office.

Finance & Business Operations

  • Partner closely with Finance to ensure real-time visibility into forecasts, budgets, utilization, and profitability.
  • Oversee and improve processes related to job scoping, time tracking, and performance reporting.
  • Build and manage dashboards that track the metrics that matter, driving operational insights and executive visibility.
  • Oversee estimates, invoicing, contracts, and process discipline, ensuring smooth operational flow and consistent profitability.

Strategic Planning & Cross-Functional Alignment

  • Facilitate leadership and planning meetings, ensuring decisions are documented, communicated, and executed.
  • Oversee change management efforts to strengthen clarity, consistency, and buy-in across the organization.
  • Translate the CEO’s ideas into structured strategies, action plans, and measurable milestones.
  • Lead cross-departmental initiatives to ensure alignment and eliminate silos.

Leadership, Communication & Culture

  • Serve as a trusted confidant and strategic sounding board to the CEO.
  • Promote a culture of accountability, collaboration, clarity, and transparency across all directors and their departments.
  • Navigate conflict and manage sensitive dynamics with professionalism and calm authority.
  • Communicate clearly and consistently across the leadership team; drive alignment through concise, actionable messaging.

Senior Account Manager

The Senior Account Manager will be responsible for independently overseeing a portfolio of client accounts and maintaining strong relationships with them. This position requires excellent communication, organizational and problem-solving skills to ensure timely and successful delivery of projects.

ESSENTIAL RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Independently oversee a portfolio of client accounts and serve as their primary point of contact
  • Collaborate with the creative team, marketing department, digital team and media planning to ensure clients' needs and expectations are met
  • Develop and maintain strong relationships with clients to increase retention and satisfaction
  • Participate in brainstorming and creative sessions to develop new and effective marketing strategies
  • Monitor campaign performance metrics to identify potential areas for improvement
  • Oversee project timelines and manage budgets to ensure successful and efficient execution of campaigns
  • Conduct regular meetings with clients to provide updates on project status and gather feedback

REQUIREMENTS

  • 8+ years of experience in account management in a marketing or advertising agency
  • Bachelor's degree in marketing, business administration or related field
  • Experience in senior living marketing is a plus
  • Proven success managing multiple client accounts simultaneously
  • Expert in managing a multi-disciplined team
  • Excellent communication and negotiation skills
  • Strong analytical and problem-solving skills
  • Ability to work in a fast-paced and highly collaborative environment
  • Proficient in a Mac-based environment, Google Suite, Zoom
  • Expertise in project management software and tools (Function Point, Basecamp, Asana, Monday, etc.)
  • Valid driver's license and reliable transportation for occasional client visits

Project Success Manager

The Project Success Manager is a liaison between internal departments to coordinate efficient, accurate and timely support for marketing jobs and deliverables. The successful candidate will thrive in a high-energy, fast-paced environment, possess exceptional organizational and communication skills, have a positive and proactive attitude and demonstrate a sincere interest in the clients’ business success.

Essential Responsibilities

The essential functions include, but are not limited to the following:

  • Partner with the Account Manager in communicating with internal departments to ensure timely, efficient, and accurate execution of marketing deliverables.
  • Coordinate internal and external meetings, including preparing agendas, taking meeting notes, and tracking action items.
  • Open jobs, develop and manage project schedules and workflows, ensuring that all tasks move seamlessly through the agency from concept to completion.
  • Draft, maintain, and distribute key project documents, including Project Request Forms (PRFs), Job Briefs, timelines, and client updates.
  • Create, maintain and monitor call tracking numbers.
  • Under the guidance of an Account Manager, communicate proactively with clients about project timelines, content, deliverables, and statuses.
  • Use project management software (such as Function Point) to track work progress, facilitate team collaboration, and monitor deadlines.
  • Collaborate closely with creative and strategy teams to keep projects aligned with client objectives and schedules.
  • Support the Account Manager in monitoring retainer and scope hour balances.
  • Support the Account Manager and Art Director in fact checking work before it goes to the client.
  • Anticipate potential roadblocks and provide thoughtful, proactive solutions to keep projects moving forward.

Requirements

  • Bachelor's degree in marketing, advertising, business administration or related field
  • 4-6 years of experience in project management within an advertising agency, across all mediums
  • Senior living experience is a plus
  • Proven track record of successfully managing multiple advertising projects simultaneously
  • Expert organizational and time management skills
  • Excellent communication and interpersonal skills
  • Ability to work under pressure and meet tight deadlines
  • Proficiency in project management software and tools (Function Point, Basecamp, Asana, Monday, etc.)
  • Proficiency in a Mac-based environment, Google Suite and Zoom platforms
  • Creative problem-solver who takes initiative and makes sound, timely decisions
  • Attention to detail and commitment to quality
  • Collaborative, positive and team-oriented mindset

Note: This position is based in Richmond, VA and candidates must be willing to work on-site in our office located in The Fan. Free private lot parking is available.
